What the conference committee can and cannot provide for your visa application, and how to prepare a request.

Visa Application Declaration

We provide visa support to attendees who need it in order to attend the event. Please read the information below thoroughly and proceed with the request if necessary.

The ICEPS committee provides only an invitation letter issued by the Conference Committee Board. It does not issue a guarantee letter, a schedule of staying letter, a local sponsor letter, or a governmental format invitation letter.

Here ICEPS would like to emphasise the difference between a letter of invitation and a letter of guarantee.

We provide

Letter of invitation

We provide a letter of invitation that clearly states the essential information of the event and the organiser's details, with contact information and confirmation of your registration to attend the event at the stated dates and location.

We do not provide

Letter of guarantee

A letter of guarantee is issued by an individual or party who agrees to be legally and financially responsible for your stay during your visit. ICEPS will not provide any letter of guarantee.

Before you request an invitation letter

  1. Make sure that you have already registered as a member to attend the event and completed your payment. A request without proof of payment will not be processed.
  2. Check whether you indeed require a visa to travel to the host country, and prepare your passport information to submit with the request.
  3. Check that your passport is valid for at least three months after the date of departure.

Should your application be denied, ICEPS cannot change the decision of the Ministry of Foreign Affairs, and we will not engage in discussion or correspondence with the ministry or the embassy on behalf of the applicant. The registration fee cannot be refunded when an individual visa application is denied.
